PetCom Business privacy notice

Who controls the information
The pet-care organisation decides which staff and customers to include, what care records to create, and when records are retained or shared. It is normally responsible for giving staff and customers its own privacy information, identifying its lawful basis and setting retention periods. Leobella provides the service and handles platform accounts, security and support. Pet owners choose which pets and permissions to share with a business; revocation stops future access but does not automatically erase care records already received.
What is processed and why
Business workspaces process organisation profiles, staff names, usernames, roles and optional contact details, customer contact details, pet profiles and photos, appointments, care updates, medication information and care history. Updates identify the staff member who submitted them. Account and device identifiers, permissions and technical connection information support authentication, delivery, security and troubleshooting. Photos are uploaded only when a user selects or takes one. Please enter health or other sensitive details only when needed for care. Managers do not see stored passwords.
Legal grounds and recipients
Leobella uses account and technical information to deliver and secure the service under its agreement with the organisation, its legitimate interests in operating a reliable service and applicable legal obligations. Each organisation must specify its own ground for using employee, customer and care records, and any additional condition required for sensitive personal information. Authorised organisation staff and approved pet owners see records according to their permissions. Firebase Authentication, database, private media and backend services process data for the app. Push delivery, if enabled, uses Firebase Cloud Messaging and the device platform. PetCom Business does not sell care records or use advertising SDKs.
Storage, transfers and security
Production records and selected photos use private Firebase services and may be processed outside your country. The actual storage/support locations and lawful transfer safeguards must be confirmed for the organisation's configuration before service in a new region. HTTPS protects traffic; device credentials and business caches use platform secure storage and encryption. This is not end-to-end encryption, because authorised server services process shared care. Windows automatic backups keep latest and previous copies while running; exported backups, share-sheet files and gallery photos are separate copies controlled by their recipients.
Retention and your rights
Disabling an account removes access but does not erase authored care history. The organisation must set a retention schedule for care, employment and customer records and may need to keep some records for care, safety or legal reasons. Depending on local law, you may request access, correction, deletion, a copy of your information, restriction or objection, or information about recipients. You can ask a pet-care organisation about records it controls or email Leobella for account and service requests. We verify requests and explain lawful retention or limits affecting other people. Exported backups and photo-library copies must be removed separately by their holders.
Complaints and contact
Send a privacy request or complaint to office@leobellatechnologies.com. Do not include a password or full medical/care history in email. We will acknowledge privacy complaints within 30 days and explain the outcome of our review. You may also contact the organisation that controls your records and your local privacy regulator.
