Shiftline privacy notice

Last updated 14 October 2026. Shiftline is a local Windows app supplied by Leobella Technologies Ltd, United Kingdom, for managers to record work-performance observations. It can be used worldwide, but the employer using it must assess local employment and privacy law before recording staff.

Who is responsible

The employer using Shiftline decides which employees are recorded, the purposes and lawful basis for reviews, who may see them and how long they are kept. It is normally the controller of those records. Leobella does not routinely receive or access the local workspace. The employer must give its workers a clear notice before collecting reviews, identify any additional legal condition for sensitive information, and set a real retention schedule. Shiftline's employee-information screen can display the organisation's own contact, access and retention details.

Information and purposes

Managers enter employee names, departments, roles, shift dates, workload/training/support context, 1–9 ratings, observations and coaching notes. Employee comments, factual-correction requests and follow-up history may also be recorded. Names of reviewers and timestamps identify who made changes. The app provides individual reports and aggregate trend views. Individual comments are excluded from team trends and default CSV exports. The app is for coaching and work improvement; the employer must tell staff if it intends any other use. It should avoid unrelated medical or other sensitive detail.

Storage and sharing

Shiftline stores records encrypted in the local Windows account's app data and uses a local service on the same PC. This version does not sync performance records to Leobella or a cloud service. Access depends on the authorised Windows account and local launcher. A manager may export a CSV, employee report or full portable JSON backup; those downloaded files are unencrypted and must be protected by the recipient. Sharing a file by email, network drive or other service is the employer's separate decision and may involve international transfer.

Retention, rights and complaints

The employer must decide and communicate how long it keeps reviews, responses, exports and backups, then delete them when no longer needed. Removing a staff member from a list does not necessarily remove historical reviews. Depending on local law, employees may ask the employer for access, correction, a copy, deletion, restriction or objection, and may challenge a review with their own response. Contact your employer's privacy or HR contact first for records in its workspace. For questions about Leobella's role, email office@leobellatechnologies.com. We will acknowledge a complaint made to us within 30 days and explain our response. You may also contact your local regulator.
